Booking policies.

How reservations, payment, changes and event-day extras work.

These sit alongside your agreement

This page explains how booking with Full Scene Experiences works, in plain English. A confirmed booking is also governed by the client service agreement you sign, and where the two differ, the signed agreement is what applies. These policies are not legal advice.

Reservations

Checking your date is a request, not a booking. We review the date and come back to you with availability and next steps.

Your date is reserved when two things are done: your booking agreement is completed and the required retainer is paid. Until both are complete the date stays available to anyone else who asks for it.

Payment

The retainer is $100 or 25% of the booking total, whichever is greater. It is non-refundable, and it is applied to your total rather than charged on top of it.

You are welcome to pay in full at booking instead.

Final balance

The remaining balance is due 10 calendar days before your event.

If you book within 10 days of the event, the full amount is due at booking.

Short-notice bookings

We take short-notice bookings whenever the schedule allows. Bookings made within 72 hours of the event are subject to availability and a $75 rush fee, and custom design work may be limited by the time available — overlays, welcome screens and prop signage all need lead time to do properly.

Event-day extensions

If the party is going and you want more time, ask the attendant. Event-day extensions are $125 per hour, subject to availability, and are paid before the extra time begins.

Planning ahead is cheaper: an additional hour added before your event is $100.

Setup and breakdown

Delivery, setup and breakdown are included, and none of it counts against your active booth hours. We arrive ahead of your start time so the experience is ready when your guests are.

Your booked hours are a continuous service window. Speeches, dinner service and venue delays do not extend it. If we cause downtime, that time does not come out of your hours.

Travel and access

We travel to venues across Atlanta, Metro Atlanta and South Metro Atlanta. Travel is included within 15 miles on The Preview and within 30 miles on every other package. Beyond that, travel is quoted and agreed before you book — never added afterwards.

We will confirm placement, power and access with you or your venue ahead of the event, so nothing about the setup is a surprise on the day. If a location turns out to be unsafe for the equipment or for guests — standing water, uncovered rain, unsafe wind — we may pause service or move to a safer spot nearby, and we will talk to you before doing either.

Custom design and approval

Custom overlays, welcome screens, prop signage and booth-front branding are designed from what you send us after booking. Design proofs include two rounds of revisions, and final approval is needed at least 7 days before the event so there is time to produce anything physical.

If approval comes later than that, we will do what the remaining time allows.

Cancellation and rescheduling

The retainer is non-refundable. Payments beyond the retainer are refundable if you cancel more than 10 calendar days before the event.

You may move your date once at no charge with at least 7 days' notice, subject to our availability on the new date. The new date should fall within 6 months of the original. Further changes are handled case by case.

Major disruption

If something genuinely outside anyone's control makes the event impossible or unsafe — severe weather, a power outage, a venue closure, a public emergency — we will work with you to move the date rather than treat it as a cancellation. We are not able to refund the retainer in those circumstances, but we will not charge you twice for the same event.

Equipment and props

The equipment and props stay in our care during the event. If something is damaged beyond ordinary use, we may invoice for the repair or replacement.
